Volunteer Roles

Volunteering Roles include times:

Volunteering Before or During Meets

  • Pre-Meet Set Up: These volunteers clear and prep the pool deck before home meets. Duties include: stacking and moving lounge chairs off the deck, placing three seated pool chairs placed behind each starting block, setting up benches in the staging area near the diving well, creating a barrier at the shallow end of the pool to give timers, coaches, and swimmers space at the end of the lanes, setting up tents in the Barracuda Bullpen, and placing cones and a rope around the Baby Pool.
  • Age Group Bullpen Volunteers: Bullpen volunteers are responsible for supervising the bullpens, which are where each age group gathers during the meeting. Bullpen Volunteers ensure that the back right shoulder of each swimmer is labeled with his/her name and that all arms are labeled before the meet begins. Bullpen Volunteers use the heat sheet to ensure that the correct swimmers report to their assigned events by helping swimmers report to the staging area near the starting blocks when requested. One Age Group Bullpen Parent is needed for each half of the meet, with the exception of 6&U parent volunteers, who will work until the 6&U events are completed.
  • Clerk of Course: The Clerk of Course uses the heat sheet to ensure that the correct swimmers are in the correct lanes and heats on the benches behind the starting blocks.
  • Clerk of Course Assistant (Staging Area): This volunteer uses the heat sheet to ensure that the correct swimmers are in the correct lanes and heats on the benches in the staging area, which is the area before the swimmers are moved behind the starting blocks.
  • Starter Assistant: The Starter Assistant is responsible forstanding next to the referee and ensuring the Dolphin Timing System resets before each event.
  • Finish Judge: The Finish Judge is responsible for determining the finish order of each heat. The Finish Judges compare results with each other. If they agree, the finish order decision is reported to the Finish Judge Recorder who records the order on the official UK Judge’s Form. In the event of a dispute, the Starter will resolve conflicts and ties if they were able to see the end of the race.
  • Finish Judge Recorder: The Finish Judge Recorder receives UK Finish Judge Form from Clerk of Course and records reported finish order agreed upon by Finish Judges.
  • Timers: Timers are responsible for timing the swimmers in their lanes for all events/heats. The stopwatches are automatically started by the Dolphin Timing System, and timer volunteers stop their stopwatches when the swimmer in their assigned lane touches the wall. Timers record the times on the Timer’s Form.
  • Back Up Timers: These volunteers manually begin their stopwatches at the start of each race and stop their watches when the swimmer in their assigned lane finishes. These times are used if the Dolphin Timing System fails to start.
  • Runner: The Runner is responsible for moving forms around the pool during the meet. The runner may also be called upon to validate times that look inaccurate.
  • Computer Operator: The Computer Operator is responsible for entering both team’s times and the judges’ finish order decisions for every heat. This volunteer double checks that the finish order in Hy-Tek reflects correctly the finish order on the Judges' Form.
  • Announcer: The Announcer is responsible for making announcements throughout the course of the swim meet.
  • Event Card Turner: The Event Card Turner is responsible for keeping the event display board accurate throughout the meet.
  • Post-Meet Clean Up: These volunteers ensure that the pool is returned to non-swim meet order. This includes: unstacking and organizing all lounge chairs and seated chairs, returning any moved tables or umbrellas to their appropriate location, removing all trash and placing it in the dumpster, placing left-behind items in the Lost and Found, and any other housekeeping needs.

Volunteering Outside of the Meet

  • Ribbon Bin Prep: This volunteer will get the ribbon bin from the coaches after registration closes and, using an updated roster, update the ribbon bin for the current team. This will include: removing folders of any families not participating, labeling and adding folders for new families (last name only), and putting the folders in alphabetical order and in a manner that all names can be easily seen. The bin needs to be prepped and ready for the season by 5/22/26.
  • Ribbon Prep: The ribbon preppers are responsible for placing the printed labels on the correct ribbons after each meet. Volunteers should arrive to Barracuda Buddies promptly at 10am and will find the needed materials in the pavilion. The volunteers should place the ribbon stickers on the corresponding ribbons and file them in the ribbon box bin, which is organized by swimmer last name (one folder per swim family).
  • Donut Duty: These volunteers will order, pick up and deliver the donuts for Barracuda Buddies. Please confirm a donut order with coaches and place the order at least 24 hours prior to each Barracuda Buddies session at Dunkin’. On the morning of Barracuda Buddies, donuts should be delivered to the pool at 10am.   • Coaching Hospitality: These volunteers donate food for the weekly coaching meetings, which happen directly after Barracuda Buddies at 11am. Feel free to connect with coaches about their preferences or you can surprise them!
  • Photographer: This volunteer will take photos throughout the season at practices, meets, and special events. This volunteer will upload photos to the Barracuda Swim Team Google Drive, and use the photos to create a slideshow for the end-of-season Barracuda Awards.
  • Water Watcher: To add a secondary layer of supervision during our Lil Cudas sessions, this volunteer will sit on the deck behind our Lil Cuda swimmers to supervise kids who are not working directly with the coaches. This volunteer needs to be able to give their complete attention to these non-swimmers, so this role is best for someone who will not have other children on deck that require their attention or supervision.
  • Merchandise Distribution: These volunteers will distribute t-shirts and swim caps during the first week of practice. When merchandise is delivered to families, volunteers will mark them off on the order forms to ensure accurate records of who has received their merchandise.

Volunteering for Special Events

  • 5/13/2026: Photo Day Volunteers
    • Form and Payment Checker: This volunteer will ensure each swimmer has their form and payment
    • Swimmer Supervisor: This volunteer will help keep children in line and present for photo
    • Deck Supervisor: This volunteer will keep the area clear of items and people that will show up in the photo
  • 6/24/2026: ASA Championship Meet @ GA Tech Volunteers
    • We cannot participate in this meet without fulfilling our assigned volunteer duties. This schedule will be released later in the season.
  • 6/25/2026: Barracuda Banquet Volunteers
    • Dinner Set Up and Serving: These volunteers will arrive at 5 pm to help set up and serve food.
    • Clean Up: These volunteers will stay after the banquet ends to put away tables, remove all trash to the dumpster, and ensure the clubhouse is left clean.
